Position Overview

A permanent opportunity is available for a Travel Coordinator – Licensed Agent based in Stellenbosch, Western Cape. This entry-level to early-career role plays a critical part in coordinating and managing business travel and home leave travel for executives, regional employees, and global team members.

The position combines hands-on travel logistics with strategic cost analysis and advisory support. The Travel Coordinator works closely with third-party travel vendors and internal stakeholders to ensure efficient bookings, compliance with travel policies, and cost-effective travel solutions.

Purpose of the Role

The primary purpose of the Travel Coordinator is to manage end-to-end travel arrangements while supporting strategic travel cost management.

Key Responsibilities

Core Travel Coordination

Review, process, and track incoming travel requests
Coordinate with travel agencies to secure suitable options for complex domestic and international itineraries
Research and recommend destinations, airlines, accommodation, and ground transportation to improve efficiency and reduce costs
Communicate with travellers to confirm itineraries, obtain approvals, and finalise bookings
Ensure compliance with corporate travel policies and approval processes
Maintain accurate records of travel requests, confirmations, and approvals
Provide reminders and updates regarding ticketing deadlines and travel documentation
Support logistical coordination for executive and group travel

Financial Administration and Reporting

Maintain travel-related invoices and reconcile monthly credit card statements
Communicate discrepancies, delays, or clarifications timeously to ensure financial accuracy
Assist with travel reporting, metrics, and spend analysis
Maintain confidentiality and discretion, particularly when handling executive travel

Strategic Travel Support

Conduct detailed cost reviews and fare analysis for staff and executive travel
Advise on alternative ticketing strategies to reduce costs while meeting travel requirements
Collaborate with in-house travel coordinators and external travel agency partners on best practices
Coordinate home leave travel programmes in partnership with Human Resources
Build and maintain strong vendor relationships to ensure smooth coordination at destination offices
Support the Travel Manager with special projects, escalations, and continuous process improvement initiatives

Minimum Requirements

Education and Experience

Minimum of 2 years’ experience in travel coordination or executive support within a corporate travel environment
Associate or Bachelor’s degree in Business, Hospitality, or a related field is preferred
Experience working with third-party travel vendors is advantageous
Familiarity with international travel requirements, visas, home leave travel, and multi-leg itineraries

Technical and Professional Skills

Proficiency in Microsoft Outlook, Excel, Teams, and business communication tools
Strong organisational, time management, and multitasking skills
Excellent written and verbal communication skills with the ability to engage executive-level stakeholders
High attention to detail with strong accuracy and follow-through
