Position Overview

Media24 is seeking a highly organized Personal Assistant to support the Sales Director within the Jonathan Ball Publishers division in Johannesburg.

The successful candidate will provide administrative and operational support including calendar management, travel coordination, meeting organization, document preparation, and stakeholder communication. This role requires exceptional attention to detail, strong organizational skills, and the ability to handle confidential information professionally.

Key Responsibilities

The Personal Assistant will perform a variety of administrative and coordination tasks to ensure smooth daily operations.

Administrative Support

  • Provide general administrative support including document preparation, filing, and record keeping
  • Maintain organized digital and physical filing systems
  • Assist with procurement of office supplies and administrative resources
  • Ensure administrative processes run efficiently

Calendar and Schedule Management

  • Manage calendars and coordinate appointments
  • Schedule meetings and ensure all required documentation is prepared
  • Handle incoming correspondence, emails, and phone calls where necessary

Travel Coordination

  • Coordinate travel arrangements including flights, accommodation, and transport
  • Ensure travel documentation and approvals are completed correctly
  • Track travel expenses and maintain accurate financial records
  • Ensure travel bookings comply with company policies

Meeting and Event Coordination

  • Assist with organizing meetings and corporate events
  • Prepare meeting agendas, reports, presentations, and minutes
  • Follow up on action items and project administration tasks

Stakeholder Communication

  • Liaise with internal teams and external stakeholders
  • Support project administration and ensure timely follow-ups
  • Assist the Sales Director with operational and administrative tasks

Minimum Requirements

Candidates interested in this opportunity should meet the following requirements:

  • Diploma or qualification in Business Administration, Office Management, or a related field (preferred)
  • Proven experience as a Personal Assistant, Executive Assistant, or Administrative Assistant
  • Strong organizational and time-management skills
  • Excellent written and verbal communication abilities
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Ability to manage multiple tasks and work under pressure
  • High level of reliability and professionalism
  • Ability to handle confidential information with discretion
