Main Purpose of the Job
The Property Manager is responsible for managing commercial properties to ensure they are profitable, well-maintained, safe, and attractive to tenants. The role includes managing finances, maintenance, leasing, tenant relationships, contractors, and staff.
Main Responsibilities
1. Property Operations Management
- Oversee the day-to-day management of the property.
- Monitor market trends and property developments.
- Ensure the property remains competitive and profitable.
- Develop plans to improve and grow the property’s value.
2. Asset and Maintenance Management
- Implement preventative maintenance programs.
- Manage repairs, upgrades, and refurbishment projects.
- Supervise contractors and service providers.
- Ensure buildings, equipment, and facilities are well maintained.
- Ensure compliance with Occupational Health and Safety (OHS) regulations.
3. Financial Management
- Prepare annual budgets and financial forecasts.
- Monitor income, expenses, and operating costs.
- Produce monthly financial reports for management and clients.
- Control expenditure and ensure cost-effective operations.
- Monitor rental income and recoveries from tenants.
4. Tenant Management
- Build and maintain strong relationships with tenants.
- Handle tenant enquiries and complaints.
- Negotiate leases and renew lease agreements.
- Ensure vacant spaces are rented out quickly.
- Monitor tenant business performance and occupancy levels.
5. Leasing and New Tenant Management
- Recommend rental rates and leasing terms.
- Negotiate new leases.
- Coordinate tenant installations and shop fitting projects.
- Ensure premises are ready before tenants move in.
6. Debtors and Credit Control
- Monitor outstanding rental payments.
- Manage arrears and recovery processes.
- Work with legal teams when necessary.
- Recommend write-offs when approved.
7. Parking and Facility Management
- Oversee parking operations.
- Monitor parking revenue and controls.
- Ensure parking areas remain safe and operational.
8. Staff Leadership and Supervision
- Lead and supervise property staff.
- Assign duties and monitor performance.
- Conduct staff evaluations and training.
- Ensure effective communication within the team.
9. Client and Contractor Relations
- Maintain relationships with clients, suppliers, contractors, and service providers.
- Coordinate external services.
- Represent the company professionally.
Requirements
Education
- Matric (Grade 12).
- Additional Property Management or Maintenance qualifications are an advantage.
Experience
- Minimum 5 years of property management experience.
- At least 2 years in a supervisory or management role.
Knowledge
- Property management procedures.
- Budgeting and financial reporting.
- Lease agreements and tenant management.
- Service contracts and maintenance planning.
- Occupational Health and Safety regulations.
