About the Role
The Marketing Assistant at Emeris Pretoria Campus provides essential administrative and operational support to the Student Recruitment and Marketing function, ensuring that prospective student information is captured accurately and timeously, all leads are correctly loaded into the relevant campaigns, marketing stock and collateral are managed efficiently, and the Student Advisors have the administrative support they need to operate effectively. During peak recruitment periods, the Marketing Assistant also contributes directly to calling activities — supporting the team in reaching database contacts, interview bookings, and applicants as directed by the Head of Student Recruitment.

Key Responsibilities of a Marketing Assistant
Data Capturing & Database Administration
- Accurately capture prospective student information, appointment forms, and applications onto SIMS and all applicable reports, ensuring all data is entered correctly, completely, and timeously.
- Capture all leads into the relevant campaigns — including interest cards, online applications, online enquiries, and walk-ins — maintaining data integrity across all lead sources.
- Work closely with the Sales Analyst to ensure that all reports balance and that all information across systems is accurately captured and reconciled.
- Maintain the integrity of data across all systems relating to prospective student and applicant information, taking personal accountability for accuracy at every stage of the data management process.
- Assist Student Advisors with all database administration and associated correspondence, providing reliable and responsive administrative support throughout the recruitment cycle.
Marketing Reporting & Statistics Support
- Work cooperatively with the Head of Student Recruitment with respect to all database statistics required for marketing reports — including Presentation Trackers and all relevant sales reports.
- Ensure that all required data and statistics are compiled, checked, and submitted accurately and on time to support management reporting and recruitment decision-making.
- Contribute to the accuracy and completeness of campaign data and lead tracking, providing the reporting team with the information required to analyse recruitment performance.
Marketing Stock & Collateral Management
- Take responsibility for all marketing stock and promotional materials, ensuring they are stored correctly, inventoried accurately, and replenished before shortfalls affect campus operations.
- Ensure that all interview rooms are stocked with appropriate marketing collateral — including brochures, application forms, programme information, and brand materials — ahead of all recruitment activities and interviews.
- Monitor collateral levels and coordinate the ordering and distribution of marketing materials to ensure the campus is always well-equipped for prospective student engagements.
Event Support & General Activities
- Provide support as needed for the planning and execution of campus events — including open days, career fairs, and other student recruitment events — ensuring all logistical and administrative requirements are met.
- During peak recruitment periods, support the Student Recruitment team through active calling activities — including database calling and calling of interview bookings and applicants — as directed by the Head of Student Recruitment.
- Perform any ad hoc duties as stipulated from time to time by the Head of Student Recruitment, supporting the broader marketing and recruitment function of the Pretoria Campus as required.
Minimum Requirements – Marketing Assistant
Educational Qualifications:
- Matric / National Senior Certificate (essential)
- Relevant 3-year Diploma or Degree in Marketing, Business Administration, Communications, or a related field (recommended — not essential)
Experience:
- 1 to 2 years’ administration experience (essential)
- Sales experience (advantageous)
Technical Skills:
- Microsoft Office proficiency, with a focus on Excel at an intermediate level — including the ability to manage data, compile reports, and work with spreadsheets accurately (essential)
- Experience working with student information management systems such as SIMS, or comparable CRM or database platforms (advantageous)
Skills & Competencies:
- Strong organisational and administration skills with the ability to manage multiple data streams and administrative tasks simultaneously
- Good communication and interpersonal skills for collaborative engagement with Student Advisors, the Sales Analyst, the Head of Student Recruitment, and prospective students
