Main Purpose of the Job

The Finance Admin Support role focuses on payroll administration, employee records, and general office support. The main responsibility is to ensure employees are paid correctly and on time by checking timesheets, processing payroll information, and maintaining accurate records.


Key Responsibilities

1. Payroll Administration

  • Collect and check employee timesheets.
  • Verify working hours, overtime, night shifts, Sundays, and public holidays.
  • Capture payroll information accurately.
  • Ensure leave days are correctly recorded.
  • Identify and correct payroll errors before submission.
  • Work with supervisors to resolve missing or incorrect information.

2. Excel and Data Management

  • Use Microsoft Excel to manage payroll data.
  • Update spreadsheets and templates.
  • Perform calculations and reconciliations.
  • Check data accuracy and correct errors.
  • Compare timesheets with payroll records.

3. Human Resources (HR) Administration

  • Assist with employee appointment documentation (AA).
  • Maintain Fixed-Term Contract (FTC) records.
  • Process Personal Change Actions (PCA), such as:
    • Transfers
    • Salary/rate changes
    • Position changes
  • Update employee information and records.
  • Handle confidential employee information securely.

4. General Administration

  • Provide administrative support to Finance, HR, and Operations teams.
  • Assist with reports and audits.
  • Maintain filing systems and records.
  • Help with inventory and financial administration when required.

Requirements

Education

  • Matric (Grade 12).

Experience

  • 2–3 years of payroll or payroll administration experience.

Knowledge

  • Payroll processing.
  • Timesheet management.
  • HR administration.
  • Data capturing and record keeping.

Computer Skills

  • Intermediate Microsoft Excel skills:
    • Formulas
    • Lookups
    • Time calculations
    • Data validation
