Main Purpose of the Job:
The receptionist is responsible for receiving clients and answering the switchboard in a friendly and professional manner, ensuring a positive experience for all visitors and callers.
Key Responsibilities:
- Telephone Management: Answer all incoming calls promptly and professionally.
- Client Reception: Greet and assist clients in a friendly and professional manner.
- Administrative Support: Assist with occasional divisional tasks without compromising the primary duties of reception and telephone management.
- Quality and Safety: Adhere to the SGS management system’s quality and safety requirements.
- Boardroom & Meeting Coordination: Coordinate with cleaners and management to maintain the boardroom and training rooms.
- Housekeeping: Ensure the reception area is well maintained and presentable.
- Additional Tasks: Perform any other reasonable tasks assigned by the direct line manager.
Specific Authorities:
- Safety Hazards: Stop the use of equipment that poses safety risks and report issues to higher authorities.
- Service Integrity: Cease any work that could affect service quality and report to management.
- Improvement Requests: Initiate improvement requests if system deviations or nonconformities are identified.
Qualifications
- Education: Grade 12
- Experience: At least 1 year of reception experience
Competencies
- Telephone Etiquette: Telephone skills will be advantageous.
- Interpersonal Skills: Excellent communication and interpersonal abilities.
- Urgency: Ability to manage tasks with a high level of urgency.
- Disposition: Friendly and professional demeanor.
