Role Overview

As an Admin Co-Ordinator, you will be responsible for various administrative tasks essential to the smooth functioning of our branch in Kokstad. Your primary duties will involve processing purchase orders, handling banking and reconciliations, maintaining records, and assisting with stock management and general office tasks. This role also includes liaising with other departments, cashiers, and ensuring adherence to health and safety standards within the office environment.

Key Responsibilities

  1. Order Processing and Stock Management:
    • Process all purchase orders accurately, ensuring they meet company requirements.
    • Handle the receiving of stock and assist with monthly stock take activities to maintain accurate inventory.
    • Support cashiers with inquiries related to stock and customer orders.
  2. Banking and Financial Reconciliation:
    • Perform daily banking activities and reconcile sales records with bank statements.
    • Process EFTs (Electronic Funds Transfers) and UIRs (Unidentified Incoming Receipts) as needed.
    • Prepare and submit financial reports and data summaries to management, ensuring accuracy in all records.
  3. Data Management and Reporting:
    • Prepare, capture, and organize reports for review, ensuring data accuracy.
    • Maintain an orderly archive system, keeping all records up to date and easily accessible.
    • Conduct general office tasks, including filing and document organization, to facilitate easy retrieval.
  4. Office Support and Coordination:
    • Maintain delivery note books, key registers, and track protective clothing orders for warehouse staff.
    • Follow up on claims and process adjustments for cost and selling prices as needed.
    • Approve and process company orders, credit notes, and discounts in line with established guidelines.
  5. Health and Safety Compliance:
    • Assist in implementing health and safety regulations, ensuring adherence to company policies.
    • Host auditors during visits, providing requested documentation and records.
    • Keep the poison register up to date and ensure all safety protocols are followed.
  6. Customer and Staff Support:
    • Support the cashier team with general queries, helping them resolve issues promptly.
    • Maintain open communication lines to answer questions related to processes and policies.

Qualifications and Skills

  • Education:
    • Matric/Grade 12 is required for this position.
  • Computer Skills:
    • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook).
  • Administrative Abilities:
    • Proven experience with administrative tasks, excellent organizational skills, and attention to detail.
  • Interpersonal and Communication Skills:
    • Effective communication skills and the ability to work well in a team environment. Good interpersonal skills are essential for handling customer and employee interactions.
