Position Overview
The Office Administrator will provide essential administrative support to the Office Manager and act as a key operational contact point for students, building managers, service providers, and the broader internal team.
This role requires a proactive, resourceful individual who is comfortable juggling multiple priorities, handling student enquiries, and supporting operational functions across five residential buildings. Your contribution will be vital in keeping daily office processes efficient, organized, and compliant.
Key Responsibilities
As the Office Administrator, your core duties will include:
1. Administrative Support

Provide comprehensive administrative assistance to the Office Manager and other internal departments.

Manage schedules, meetings, and general office workflow to ensure smooth operations.

Draft and format correspondence, memos, and official communications.
2. Student Interaction & Support

Act as the first point of contact for students and student representatives for queries, complaints, and requests.

Liaise with students regarding their accommodation concerns, bookings, or documentation requirements.

Maintain a friendly and professional attitude when dealing with young adult tenants and their guardians.
3. Data Entry & Reporting

Maintain and regularly update spreadsheets, databases, and internal systems with a high level of accuracy.

Capture bookings, contracts, lease agreements, and student records in accordance with company policy.

Support compliance tracking and reporting efforts, ensuring that regulatory and operational records are up to date.
4. Facilities & Maintenance Coordination

Log maintenance issues reported by students or building staff and ensure they are communicated to the relevant service providers.

Monitor follow-ups on maintenance requests to ensure issues are resolved in a timely manner.

Assist with coordinating service provider visits, access control, and inspection schedules.
5. Filing, Documentation & Compliance

Maintain accurate and systematic filing of physical and digital documents.

Ensure that administrative processes align with company policies and compliance standards.

Support with audits and documentation preparation when needed.
6. Communication & Liaison

Respond promptly to emails, phone calls, and in-person queries from students, staff, and external partners.

Maintain clear and professional communication with service providers and internal teams.

Represent the office in a courteous, efficient, and professional manner.
Minimum Requirements
To be considered for the Office Administrator role, you must meet the following criteria:
Education and Experience

A minimum of 2 years’ experience in an administrative, office support, or customer service role.

Experience in the property, student accommodation, or hospitality sectors would be an added advantage.
Technical Skills

Proficiency in Microsoft Excel is essential; must be able to manage data in spreadsheets with accuracy.

Good working knowledge of Microsoft Office Suite (Word, Outlook, PowerPoint).

Familiarity with digital document filing systems and email correspondence.
Communication

Strong written and verbal communication skills in English are non-negotiable.

Ability to communicate clearly with students, management, and service partners.
