Job Overview: Onkey Administrator

The Onkey Administrator is responsible for maintaining accurate records, updating key operational data, and ensuring seamless system management using the Onkey platform. The role also involves financial administration, reporting, and close collaboration with internal departments to ensure accuracy and efficiency in daily processes.


Key Duties and Responsibilities

As an Onkey Administrator, your main duties will include:

Data and System Management

  • Update client site lists and asset trees on Onkey.

  • Capture new site details and contractor rates accurately.

  • Maintain up-to-date Onkey records with relevant information.

Financial and Invoice Processing

  • Upload invoices onto Onkey in a timely and accurate manner.

  • Monitor and finalise aged work orders to keep the system accurate.

  • Maintain invoice trackers for different business divisions.

Reporting and Meetings

  • Deliver weekly Onkey reports with accuracy and detail.

  • Attend weekly sign-off meetings with TFS administrators to review outstanding items.

  • Provide monthly reporting support and maintain audit-ready records.

Administrative and Operational Support

  • Provide administrative and financial assistance for Onkey processes and queries.

  • Collaborate with internal departments to resolve outstanding issues.

  • Support audits by ensuring all records are accurate and compliant.

Professional Conduct

  • Demonstrate integrity, honesty, and ethical standards at all times.

  • Take ownership of assigned tasks and outcomes.

  • Communicate clearly and respectfully with all stakeholders.


Skills and Competencies Required
