About the Role

The End Controller at Brights Hardware Stonewood is the final verification point in the Drive Thru Yard process — the person who ensures that what a customer paid for on their invoice is exactly what leaves the store. By accurately reconciling invoices, cash slips, transfer slips, and delivery notes against physical goods through counting and measuring, the End Controller protects the business from stock losses and protects the customer from receiving incorrect orders. This role is critical to both customer satisfaction and inventory integrity.

Beyond reconciliation, the End Controller maintains the error report book, reports all discrepancies to management, participates in perpetual stocktakes, upholds housekeeping standards in the yard, and performs any additional work-related tasks as delegated by a superior. Key Responsibilities of an End Controller

Invoice, Transfer & Delivery Note Reconciliation

• Reconcile invoices and cash slips against physical goods by accurately counting and measuring all items to confirm that what the customer purchased corresponds exactly with what is being collected.
• Reconcile transfer slips against physical goods by counting and measuring, ensuring all inter-branch or internal stock movements are accurately verified before goods leave the yard.
• Reconcile delivery notes against physical goods by counting and measuring, confirming that all items listed on delivery documentation are present, correct, and in acceptable condition.
• Ensure that no goods leave the Drive Thru Yard without a completed and verified reconciliation, preventing losses and protecting the integrity of every customer transaction.

Error Reporting & Discrepancy Management

• Maintain the error report book accurately and consistently, recording all identified discrepancies, shortfalls, overages, and irregularities in a clear and timely manner.
• Report all discrepancies to management promptly and accurately, providing sufficient detail to enable investigation and corrective action where required.
• Follow up on any outstanding discrepancies or errors as directed by management, ensuring all issues are fully resolved and appropriately documented.

Stocktakes & Inventory Support

• Participate actively in perpetual stocktakes as required, contributing to the accuracy and integrity of the store’s ongoing inventory management process.
• Support management in identifying and resolving stock discrepancies identified during stocktakes, applying the same counting and measuring discipline used in daily reconciliation activities.

Housekeeping & Yard Standards

• Ensure the housekeeping of the Drive Thru Yard work area is maintained to Brights Hardware’s company standards at all times — keeping the area clean, organised, safe, and presentable.
• Identify and report any safety hazards, equipment concerns, or housekeeping non-compliance in the yard to the relevant supervisor without delay.
• Perform any additional work-related tasks as delegated by a superior, supporting the broader operational requirements of the Drive Thru Yard and the Stonewood store.

Customer Service & Professional Conduct

Minimum Requirements – End Controller

Educational Qualifications:

• Matric / National Senior Certificate — or — a minimum of 3 completed Intercept courses totalling at least 120 credits (essential)

Licences & Registrations:

• Grade C security qualification — valid and current (essential — non-negotiable)

Experience:

• Minimum 2 years’ previous experience in a similar End Controller, yard control, or stock reconciliation role (essential)
• Completion of Brights Induction (Service Excellence) — or willingness to complete upon appointment (essential)

Knowledge Requirements:

• Internal procedural knowledge relevant to yard operations, invoice reconciliation, and stock management in a hardware retail environment
• Sound product and department knowledge across Brights Hardware’s building materials and hardware range (to be developed and maintained in role)
