Role Purpose

The Procurement Administrator will manage vendor documentation, transformation initiatives, and general administrative tasks for the Procurement department. Depending on business needs, the position may also involve buying activities, providing exposure to a broader range of procurement operations.


Key Responsibilities

  • Vendor Master Data Management

    • Upload and maintain all vendor master data on SAP and other approved systems.

    • Ensure high-quality data by following established master data management processes and updating guidelines as required.

    • Gather and verify all necessary vendor registration documents.

  • Compliance and Governance

    • Ensure supplier documentation is compliant with governance and regulatory requirements.

    • Track and update documents with expiry dates to maintain full compliance.

  • Reporting & Administration

    • Prepare and manage reports for procurement and business requirements.

    • Execute administrative tasks to support Bidvest Facilities Management’s B-BBEE Scorecard for the Enterprise and Supplier Development (ESD) element.

    • Provide general administrative assistance to the Procurement Relationship Manager and company executives.

  • Education & Support

    • Educate supply chain teams, suppliers, and customers on master data requirements and standards to promote continuous improvement.


Minimum Qualifications and Experience

Applicants should demonstrate the following credentials:

  • Education: Grade 12 (Matric) plus a National Diploma in Procurement or Purchasing.

  • Professional Advantage: CIPS certification or related qualifications will be a strong asset.

  • Experience: 2–3 years of purchasing and master data management experience.

  • Technical Skills:

    • Advanced proficiency in Microsoft Excel, Word, and PowerPoint.

    • SAP experience is essential.

    • Solid understanding of B-BBEE codes, report writing, and internet-based research.

  • Health & Safety: A basic understanding of health and safety standards.
