Main Purpose of the Job
The Property Administrator assists in managing properties and ensuring rental income is collected on time. The role focuses on tenant accounts, debt collection, administration, reporting, and maintaining good relationships with tenants while protecting the company’s financial interests.
Main Responsibilities
1. Rent Collection and Debtors Management
- Monitor tenant accounts and rental payments.
- Follow up on overdue accounts by phone, email, letters, or meetings.
- Resolve payment issues and negotiate payment arrangements.
- Issue letters of demand to tenants who have not paid rent.
- Assist with legal processes when tenants fail to pay.
- Monitor rental arrears and reduce outstanding debt.
2. Tenant Administration
- Handle tenant queries professionally.
- Investigate short payments and payment discrepancies.
- Ensure tenants receive monthly rental statements.
- Maintain good relationships with tenants.
- Keep accurate records of tenant communications.
3. Financial Administration
- Process and record tenant payments daily.
- Reconcile tenant accounts and bank deposits.
- Capture journal entries and account corrections.
- Monitor deposits, lease fees, and other charges.
- Ensure accounts are accurate and up to date.
4. Reporting
- Prepare weekly and monthly debtors reports.
- Track rental collections and arrears.
- Create reports and graphs showing collection performance.
- Submit reports on legal matters and outstanding accounts.
- Keep management informed about collection activities.
5. Property Support Administration
- Assist with property management administration.
- Capture electricity and water meter readings.
- Maintain filing systems and records.
- Ensure all documentation is accurate and confidential.
6. Legal and Compliance Support
- Follow company collection procedures and legal requirements.
- Assist with tenant eviction and debt recovery processes when necessary.
- Ensure all collection activities are legally compliant.
Requirements
Education
- Matric (Grade 12).
- Bookkeeping qualification or knowledge.
Experience
- At least 3 years of related administration or collections experience.
- Property industry experience is an advantage.
- Own transport is required.
Knowledge
- Debt collection procedures.
- Basic bookkeeping and accounting principles.
- Tenant and lease administration.
- Company policies and legal collection processes.
