Job Overview:
The Receptionist will play a crucial role as the first point of contact for our organization, ensuring that all visitors and callers receive a warm and professional greeting. Key Responsibilities:

  • Greet visitors and guests with a welcoming and professional attitude, ensuring that each interaction aligns with our commitment to customer service excellence.
  • Answer, screen, and forward incoming phone calls to the relevant person or department, ensuring a smooth and efficient flow of communication.
  • Manage all incoming and outgoing mail, packages, and deliveries, ensuring they are logged and distributed promptly and accurately.
  • Maintain an organized and professional reception area that reflects our company’s dedication to quality and security.
  • Assist in scheduling and coordinating appointments and meetings for staff and management, ensuring all meeting spaces are prepared.
  • Provide general administrative support to various departments as needed, including data entry, document management, and office supply inventory control.
  • Ensure the confidentiality of all sensitive and proprietary information, strictly adhering to the company’s privacy and data protection policies.
  • Monitor office supplies, reorder when necessary, and ensure that the reception area is always well-equipped to handle its daily functions.

Minimum Qualifications and Requirements:

  • A high school diploma or equivalent qualification is required; any additional certifications in administration or customer service will be advantageous.
  • Previous experience in a receptionist or administrative role is preferred, especially in a security and investigations environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) is essential for managing documents and scheduling tasks.
  • Strong organizational skills with the ability to handle multiple tasks simultaneously while maintaining accuracy and attention to detail.
  • Excellent verbal and written communication skills to handle customer inquiries, complaints, and routine communications effectively.
  • A friendly and professional demeanor with a passion for delivering excellent customer experiences.
