Job Description

Tsebo Facilities Solutions is seeking a Receptionist to provide a welcoming environment for visitors, proactively managing the workplace reception services in accordance with the master service agreement.

Key Responsibilities

Operational Delivery

  • Review and prepare for visitor and client arrivals for the day.
  • Attend to special arrival and meeting room requirements.
  • Provide information about amenities, area, and venues.
  • Anticipate client needs and build rapport.
  • Assist with tasks such as confirming travel arrangements, taking messages, restaurant reservations, etc.
  • Offer assistance with meeting room technical requirements.
  • Report client feedback and escalate unresolved complaints.
  • Report building maintenance issues to the TFS call centre daily.
  • Ensure all meeting rooms are set up and maintained according to client requirements.
  • Conduct daily inspections of meeting rooms for cleanliness and order.
  • Test AV equipment before use and ensure meeting rooms are properly equipped.
  • Refresh water jugs and ensure glasses are available throughout the day.
  • Maintain clean and organized meeting rooms and report any issues to the cleaning team.
  • Hand in any lost property found in meeting rooms to security.

Customer Focus

  • Maintain a customer-focused attitude, enhancing customer lifetime value.
  • Address client inquiries and concerns, providing timely and accurate information.
  • Conduct client satisfaction surveys and ensure client satisfaction with services.
  • Maintain knowledge of business objectives within the workplace environment.
  • Work with teams to enhance operational efficiencies and performance.
  • Resolve customer queries or escalate when necessary and follow up on all queries.

Reporting

  • Prepare weekly/monthly reports for submission to the manager.
  • Update and maintain relevant records and compile stats as needed.

Code of Conduct

  • Undertake additional responsibilities as directed by management.
  • Work flexibly, taking responsibility for performance.
  • Promote the company’s image and values.
  • Adhere to Safety, Health, Environmental, and Quality (SHEQ) Management Policies.

Skills and Competencies

  • Proficiency in MS Office Suite.
  • Knowledge of facilities management equipment, materials, and suppliers.
  • Proven experience as a Concierge or in a similar role.
  • Familiarity with hospitality industry standards.
  • Proficiency in English; additional languages are a plus.
  • Strong computer literacy and excellent organizational skills.
  • Outgoing personality with excellent communication skills.
  • Customer-oriented and professional attitude.

Qualifications

  • Grade 12 (non-negotiable).
  • Computer literacy.
  • 2-3 years of frontline hotel/customer service experience.
  • Minimum of 3 years’ experience as a Receptionist in a hospitality environment.
