Role Purpose
The Crew Support Administrator will report to the Manager: Training and will be responsible for managing crew uniform and PPE logistics, vendor coordination, administrative support, and internal communication across Cabin, Ground, and Flight Deck operations.
This role is essential for ensuring the smooth flow of daily administrative processes, maintaining proper inventory, processing documentation accurately, and providing timely support to internal departments.
Key Responsibilities
Uniform and PPE Management

Monitor stock levels of uniforms and PPE to avoid shortages or overstocking.

Process procurement requests and ensure all orders are approved prior to purchase.

Evaluate uniform requests and ensure compliance with company policy.

Coordinate uniform fittings and address any uniform-related queries or discrepancies.

Track and follow up on uniform and PPE shipments, addressing any delays.

Maintain accurate records of uniform and PPE distribution to staff across departments.

Capture and update vendor information required for invoicing and compliance.

Respond to all PPE and uniform-related enquiries from internal staff.
Crew Support and Coordination

Assist Cabin, Ground, and Flight Deck teams with ACSA parking applications and manage monthly parking updates.

Address parking-related queries and update records to ensure all data is accurate and current.

Collect, sort, and distribute mail, messages, and deliveries to relevant departments.

Schedule meetings and book venues as requested by management and team leads.

Share company communications, updates, and notices with operational teams in a timely and professional manner.
Procurement and Finance Administration

Upload invoices and apply correct cost codes using SAGE X3 for approval and payment processing.

Assist in obtaining quotations from suppliers when necessary for purchasing decisions.

Track and reconcile vendor invoices and ensure alignment with orders and deliveries.
Minimum Requirements

Matric / Grade 12 certificate or equivalent (Essential)

1–3 years of relevant administrative experience (Essential)

Prior experience in the aviation industry (Desirable but not required)

Proficiency in MS Office Suite: Excel, Word, Outlook (Essential)

Familiarity with financial or procurement systems such as SAGE is advantageous
