Role Overview

The Marketing Administrator is responsible for planning, executing, and supporting sponsorship and event-related activities, as well as maintaining records, tracking inventory, and assisting with financial processes. This is a hands-on position requiring coordination of game-day suite operations, school tournaments, golf days, promotional campaigns, and internal marketing communications.


Minimum Requirements

  • Grade 12 (Matric) is essential

  • A Diploma in Marketing or Business is advantageous

  • 4–6 years’ experience in:

    • Marketing and Sponsorship

    • Office Administration

    • Financial Process Support


Key Responsibilities

Suite Operations & Sponsorship Coordination

  • Oversee game-day suite operations including catering, guest preferences, and suite cleanliness

  • Coordinate with suppliers for food, beverage, and bar staff requirements

  • Track and manage branding material at school tournaments and other events

  • Update the events calendar and coordinate suite bookings

  • Liaise with clients, ensuring their comfort and satisfaction during games or events

Event and Campaign Support

  • Assist with the planning and setup of marketing activations at golf days and tournaments

  • Ensure that banners, flags, and branded items are displayed correctly

  • Collaborate with the team to ensure smooth execution of all marketing events

Vendor and Financial Administration

  • Process marketing invoices and ensure all documentation is attached and accurate

  • Submit vendor applications and maintain an updated vendor database

  • Follow up on payments and vendor status with procurement and finance departments


Promotional Material & Inventory Management

  • Maintain clean, organized storage areas for marketing materials (e.g., pens, shirts, caps)

  • Label and categorize items for easy tracking

  • Track promotional merchandise distribution and stock movement

  • Conduct monthly stock takes and prepare reports for marketing and finance teams

  • Distribute marketing collateral across offices accurately and on time


Administrative and Logistical Support

  • Update the marketing calendar with all events, campaigns, and sponsorships

  • Manage courier and logistical support for events and promo deliveries

  • Ensure all sponsorship requests are sent to the Marketing Manager for approval

  • Provide regular feedback on inventory levels and event preparation progress


Technical Skills Required

  • Advanced skills in Microsoft Word, Excel, and PowerPoint

  • Experience using event planning software and tools

  • Understanding of budgeting, invoice processing, and vendor management

  • Strong ability to multitask and coordinate cross-functional teams
