Role Purpose
The Procurement Specialist will play a vital role in ensuring the efficiency, compliance, and cost-effectiveness of FlySafair’s procurement operations. Reporting directly to the Procurement and Contracts Manager, the successful candidate will support strategic sourcing, supplier evaluation, procurement process improvement, and compliance management.
This role focuses on optimizing procurement activities across departments to ensure that materials, components, and services are sourced from approved vendors efficiently and in alignment with regulatory standards.
Key Responsibilities
As a Procurement Specialist at FlySafair, your primary duties and responsibilities will include:
Procurement Strategy and Sourcing

Assist in developing and implementing effective sourcing strategies to enhance efficiency and reduce procurement costs.

Ensure compliance with company policies and quality assurance (QA) requirements, procuring only from approved suppliers.

Identify, evaluate, and onboard new suppliers in collaboration with the Procurement Team and Finance Department.

Facilitate supplier audits and credit applications to ensure reliability and financial stability.

Enhance procurement agility by improving response times and streamlining sourcing processes.
Procurement Process and Documentation

Maintain accurate and up-to-date procurement documentation, ensuring that all relevant records are properly filed in the designated Procurement Drive for audit and compliance purposes.

Monitor procurement spending to identify cost-saving opportunities and support management with data-driven insights.

Conduct financial assessments of supplier expenditures and prepare reports for review by the Procurement and Contracts Manager.

Keep abreast of market trends and industry developments to inform strategic purchasing decisions.
Supplier and Relationship Management

Support supplier assessments and risk mitigation processes.
-
Foster and maintain positive working relationships with both internal and external stakeholders.

Participate in supplier performance evaluations and develop improvement strategies where necessary.

Ensure the company’s procurement activities align with operational needs, safety standards, and legal obligations.
Systems, ERP, and Reporting

Track and report key functional metrics to optimize procurement performance and reduce operational expenses.

Monitor backorders within the ERP system to ensure timely and complete deliveries.

Manage open requisitions and purchase orders to ensure prompt closure and minimize financial impact.

Minimize Goods Received Voucher (GRV) suspense by ensuring invoices are processed accurately and on time.

Collaborate with the Warehousing and Finance Teams to review and approve supplier invoices.
Operational Support and Compliance

Assist in procuring and replacing stock items, ad-hoc commodities, and services as required.

Verify employee attendance, overtime requests, and leave submissions for managerial approval.

Ensure full compliance with all relevant legal, procedural, and safety standards within the procurement process.

Support initiatives to improve productivity, system functionality, and information flow across the organization.
This position requires excellent attention to detail, organizational discipline, and the ability to manage multiple priorities simultaneously.
Minimum Job Requirements
To be considered for the Procurement Specialist position at FlySafair, candidates must meet the following requirements:

Grade 12 or Equivalent Qualification (Essential)

Diploma or Degree in Procurement, Supply Chain Management, or a related field (Essential)

Minimum of 5 years’ experience in a procurement or purchasing environment (Essential)

Experience in aviation procurement (Advantageous)

Willingness to work overtime and on standby as operational needs dictate

Strong understanding of procurement best practices and sourcing strategies

Knowledge of commercial shipping terms, INCO terms, and regulatory compliance

Proficiency in ERP Procurement Systems such as TRAX or QlikView

Advanced Microsoft Office skills, including Word, Excel, PowerPoint, and Outlook

Excellent written and verbal communication abilities

Strong negotiation, analytical, and networking skills
