About the Role

Maluti TVET College is seeking an organised, detail-oriented administrative professional to join Kwetlisong Campus as a Campus Administrator. This position is ideal for individuals with strong administrative expertise and a solid understanding of the TVET sector, public service operations, and education governance.

As the Campus Administrator, you will manage administrative functions, coordinate HR and procurement processes, support campus management, and ensure effective student and staff record management. You’ll play a vital role in maintaining operational efficiency and supporting the campus to deliver high-quality education and services to students and employees.


Job Summary

The Campus Administrator will be responsible for delivering full administrative support to campus operations, including enrolment planning, HR administration, procurement, and the coordination of examinations and student registration.

This role demands in-depth knowledge of public service regulations, TVET administration, and corporate governance principles. You will handle sensitive documents, support compliance requirements, and maintain accurate and secure records.


Key Responsibilities

Administrative Support

  • Develop and implement campus enrolment plans for NCV and Report 191 programmes

  • Compile departmental reports for campus management and A-TEAM

  • Prepare presentations, reports, and official correspondence

  • Plan and coordinate meetings, workshops, and campus gatherings

  • Provide direct admin support to management and leadership teams

Human Resources Administration

  • Coordinate HR documentation including leave, PMDS, grievances, and disciplinary records

  • Submit HR documents to the central office and follow up on queries

  • Maintain proper HR records and monitor staff attendance registers

  • Manage duty registers and payments for part-time lecturers

  • Support wellness and employee support programmes at campus level

Procurement Support

  • Recommend purchase requisitions to the Campus Manager

  • Draft procurement memos and submit requisition forms

  • Receive, verify, and record goods and services

  • Maintain compliance with procurement processes and documentation standards

  • Follow up on outstanding requisitions and ensure proper filing

Records Management and Filing

  • Maintain effective filing systems aligned with QMS and National Archives Act

  • Store and manage campus and staff documents

  • Track and distribute incoming mail from the central office

  • Ensure confidentiality and accuracy of all records

Student Administration & Examination Coordination

  • Assist with student registration and application processing

  • Store portfolio of evidence and scan student documentation

  • Capture and reconcile student information and address exceptions

  • Coordinate student registration and examination processes

  • Process programme applications, credits, and corrections accurately


Skills and Requirements

Minimum Qualifications:

  • National Diploma (NQF 6) in Office Management & Technology, Public Management, or related field

Experience:

  • 2–3 years’ administrative experience in a similar environment (TVET/public sector preferred)

Competencies & Knowledge:

  • Public Service policies, regulations, governance, and applicable legislation

  • TVET/CET system and Higher Education sector knowledge

  • Employment Equity Act, Labour Relations Act, Public Service Act

  • Budgeting, cost control, and expenditure management

  • Strong ability to work with confidential data and records

  • Excellent written and verbal communication skills

  • Ability to coordinate multiple functions simultaneously
