Overview

The Northern Cape Urban TVET College invites suitably qualified and experienced candidates to apply for the position of Personal Assistant: Principal Office. Minimum Requirements

Applicants must meet the following criteria:

  • A recognised three-year National Diploma (NQF Level 6) in Secretarial Studies, Management Assistant, Office Management, or an equivalent qualification.

  • 2–3 years relevant experience providing support to senior management or executives.

  • Computer literacy, including proficiency in MS Word, Excel, PowerPoint, Outlook, and general office software.

  • Good written and verbal communication skills, with the ability to prepare documents, correspondence, briefing notes, and meeting content.

  • Strong understanding of document management, record keeping, and maintaining organised office systems.

  • Ability to manage confidential information with discretion.

  • Excellent interpersonal skills, professionalism, and organisational acumen.


Key Duties and Responsibilities

The successful candidate will perform a wide range of executive administrative duties, including but not limited to:

1. Executive Secretarial Support

  • Provide a high-level secretarial and receptionist service to the Principal.

  • Receive, screen, and prioritise telephone calls and enquiries.

  • Perform advanced typing, formatting, and preparation of documents, correspondence, and presentations.

  • Maintain accurate records of the Principal’s engagements, meetings, and commitments.

  • Coordinate and manage a realistic and efficient schedule of appointments.

2. Office Administration and Information Flow

  • Manage the effective flow of documentation and communication to and from the Principal’s Office.

  • Ensure safe storage and confidentiality of all documents, aligning with relevant legislation and college policies.

  • File and organise documents for both the Principal and the broader unit where required.

  • Collect, analyse, and compile information for reports, minutes, briefings, and submissions.

3. Meeting and Event Coordination

  • Provide full meeting support, including:

    • Recording minutes and decisions,

    • Communicating action items to relevant stakeholders,

    • Following up on progress,

    • Preparing briefing notes for the Principal.

  • Coordinate travel arrangements, logistics, and itineraries.

  • Arrange venue bookings, equipment, and administrative requirements for meetings.

4. Compliance and Continuous Improvement

  • Stay updated with internal policies, prescripts, and procedures applicable to the work environment.

  • Ensure efficiency and quality in all administrative processes within the Principal’s Office.

  • Support initiatives aimed at improving workflow, record management, and executive operations.
