Position Overview
PEP is seeking a highly organised and detail-oriented Sample Administrator to support its Marketing Department. This role ensures that all product samples are accurately managed, tracked, and delivered on time to support eCommerce content production, photography shoots, and marketing campaigns.
The ideal candidate will play a key role in ensuring smooth coordination between buyers, studios, photographers, and marketing teams.
Key Responsibilities
Sample Coordination & Tracking (Pre-Campaign)
- Request, receive, and track all eCommerce and web samples from buyers
- Ensure all samples are correctly labelled, in good condition, and accounted for
- Maintain accurate merchandising lists for sample tracking
- Coordinate sample inflow aligned with buying schedules
- Ensure timely return of samples to buyers after use
Studio & Production Support
- Ensure correct products are prepared for photography and studio shoots
- Liaise with photographers and production teams for sample readiness
- Support smooth execution of eCommerce content production
Campaign Management
- Maintain and update eCommerce campaign calendars
- Flag delays or changes proactively to stakeholders
- Ensure adherence to production timelines and critical paths
- Ensure accurate product representation on the website
Administration & Reporting
- Track and document all sample movements and usage
- Maintain accurate records for audit and reporting purposes
- Support multiple marketing projects simultaneously
- Ensure compliance with deadlines and workflows
Minimum Requirements
- Diploma or Degree (preferred)
- Minimum 2 years’ experience in retail or coordination/admin role
- Experience in eCommerce or marketing environment advantageous
- Strong Excel / Google Sheets skills
- Knowledge of retail and digital content workflows
