The company is seeking a Cosmetics Admin Manager to oversee commission calculations and administrative processes for all Cosmetics staff across the Group.


Position Overview

The Cosmetic Admin Manager will be responsible for calculating, verifying, and managing commission payments for Cosmetic Managers and Consultants across all stores. The role involves detailed financial administration, data management, reporting, performance analysis, and coordination with Payroll and Debtors departments.

This position requires high accuracy, strong analytical skills, and the ability to manage large volumes of data and correspondence within strict deadlines.


Minimum Requirements

Essential

  • Grade 12 / Matric
  • 3–5 years’ administration experience

Advantageous

  • Financial/Admin Diploma or relevant 3-year qualification
  • Management experience

Key Responsibilities

Commission Management & Payroll Coordination

  • Maintain and manage the Cosmetic Managers & Consultants Master Data Commission File
  • Process staff changes including transfers, dismissals, maternity leave, and store reallocations
  • Prepare and finalise monthly commission calculations within 13–15 working days
  • Submit accurate commission schedules to Payroll
  • Verify and validate commission allocations to ensure correct store/house assignments
  • Oversee commission data captured by the Admin Clerk

Sales Analysis & Reporting

  • Compile month-end sales figures
  • Establish new monthly sales targets for Total Beauty Group
  • Generate and distribute Cosmetic Regional month-end printouts
  • Conduct post month-end performance analysis (Target vs Actual)
  • Calculate applicable incentives in collaboration with senior management

Financial & Debtors Coordination

  • Request commission-related invoices
  • Submit updated commission schedules to the Debtors Department
  • Process cosmetic markdowns and related invoice requests
  • Reconcile Total Beauty commission sheets with issued invoices
  • Manage supplier salary contribution consultants with the Debtors Department

Data & System Management

  • Maintain and update the Beauty Commission Structure across the Group
  • Create and maintain cosmetic attribute numbers
  • Coordinate system updates via QlikView (three-step process)
  • Review and approve Beauty Nomination Forms according to qualifying criteria
  • Distribute commission schedules for Namibia house payments

Communication & Administration

  • Manage high-volume daily correspondence (200–300 emails)
  • Communicate confirmed commission payments to Regional Managers
  • Ensure accurate and timeous submission of all documentation
