This role is key to ensuring smooth operations within the office, requiring exceptional organizational skills, attention to detail, and a proactive attitude.


Key Responsibilities:

Front Office Operations:

  • Efficiently manage the switchboard, handling all incoming communications.
  • Welcome visitors, staff, suppliers, and contractors with professionalism.
  • Coordinate room bookings for meetings and training sessions.

Administrative Support:

  • Perform various tasks such as photocopying, scanning, and filing.
  • Ensure prompt management of correspondence and information dissemination.
  • Assist the management team by keeping track of schedules and deadlines.

Logistics and Coordination:

  • Manage staff transportation to ensure cost efficiency and reliability.
  • Keep clients informed of any transportation updates.
  • Promptly handle transportation-related issues to maintain service quality.

Facility Management:

  • Coordinate with the facilities head for building and equipment maintenance.
  • Manage stock control and assist in organizing staff events.
  • Oversee night shift cleaning staff and manage stock distribution.
  • Manage vending machines and control vending tags.
  • Arrange access for building and office entries.
  • Liaise with suppliers and contractors for repairs and maintenance.

Experience and Qualifications:

  • Required: Matric/Grade 12 or equivalent qualification.
  • Advantageous: Background in Transport and Logistics Management.
  • Minimum of 2 years of experience in Office Management or as an Office Administrator.
  • Proficiency in Microsoft Office Suite.
  • Clear criminal record.

Remuneration Package:

  • Basic Salary: Market-related.
  • Shift Allowance.

Working Hours:

  • Shift: Monday to Friday:
    • 15:00 – 00:00
    • 16:00 – 01:00 (depending on Daylight Savings)
