Job Description

This position is responsible for the effective maintenance of the administrative functions of the branch, ensuring smooth operations and accurate processing of all documentation and systems.


Job Requirements

Required Minimum Education/Training:

  • Grade 12

Required Minimum Work Experience:

  • 1 year of administration experience

Key Performance Areas:

  1. Stock Management:
    • Receive and compare stock to delivery notes.
    • File delivery notes and handle ad-hoc receiving duties.
    • Ensure all documents are processed correctly and match the number sequence in the system.
  2. Invoice and Claims Processing:
    • Collect invoices electronically for processing and link them with delivery notes and orders.
    • Capture and process claims (warranty claims, damaged items, discrepancies, expired stock).
  3. Client Interaction:
    • Maintain good client relationships and resolve queries efficiently.
  4. Reporting and Stock-Taking:
    • Generate daily, weekly, and monthly reports on claims, purchase orders, and stock discrepancies.
    • Assist with quarterly stock-taking and capture stock count sheets in the system.
    • Generate and review variance reports.
  5. Supplier Communication:
    • Follow up with suppliers on outstanding invoices, credit notes, and stock discrepancies.
  6. Cash Management:
    • Ensure daily cash-ups and report surpluses/shortages as per policy.
    • Report cash-up balances and discrepancies to the Regional Banking Clerk.

Technical Knowledge/Competencies:

  • Proficiency in MS Office
  • Strong verbal and written communication skills
