Purpose of the Role
The Workshop Administration Clerk will play a key role in supporting the smooth operation of the workshop by handling administrative tasks, managing client queries, and ensuring that all documentation and orders are processed accurately and efficiently. The ideal candidate must have a keen eye for detail, excellent communication skills, and a strong work ethic.
You will assist in creating job cards, managing pro-forma invoices, ordering parts from external vendors, ensuring compliance with risk management requirements, and maintaining positive relationships with internal and external stakeholders.
Key Responsibilities
Workshop Administration

Create accurate and detailed job cards for all workshop activities.

Prepare pro-forma invoices linked to job cards to ensure correct billing and processing.

Capture and maintain orders from external vendors onto job cards, ensuring accuracy and timely updates.

Facilitate daily banking by preparing and depositing workshop income securely and promptly.
Risk and Compliance Management

Ensure that the workshop’s risk file (General Machinery Regulation – GMR) is consistently up to date.

Make sure all necessary forms and safety compliance documents are correctly completed and signed off by relevant stakeholders.

Support workshop management in maintaining high levels of compliance with health and safety standards.
Client and Stakeholder Engagement

Build and maintain strong professional relationships with internal and external clients.

Respond to client queries promptly and effectively, providing resolutions or escalating issues where necessary.

Ensure that client satisfaction remains a top priority through excellent service delivery and follow-ups.
Communication and Coordination

Maintain open lines of communication with workshop staff, management, suppliers, and clients.

Liaise with parts and procurement departments to ensure timely ordering and delivery of maintenance items.

Coordinate documentation flow to ensure smooth administrative processes within the workshop.
Required Qualifications and Experience
Educational Requirements:

Grade 12 (Matric Certificate) is a minimum requirement.
Work Experience:
-
At least 6 months of relevant administrative experience, preferably in a workshop or technical service environment.
Technical Knowledge and Competencies Required

Basic understanding of workshop administrative processes, including job card creation and order management.

Computer literacy: Proficient in MS Office applications (Word, Excel, Outlook).

Knowledge of parts and maintenance items: Ability to understand what parts need to be ordered and the relevance of maintenance items to workshop operations.

Document management: Ability to maintain, update, and archive important workshop documents systematically.
