About the Role

The Administrator: Parts Receiving (RFC Clerk) at Alert Engine Parts plays a pivotal role in maintaining the accuracy, speed, and integrity of the return-for-credit and claims cycle at the Brackenfell branch. Operating within a high-volume automotive parts distribution environment, you will be the key operational link handling stock returns, verifying documentation, conducting technical evaluations, and processing warranty claims.

You will interact regularly with customers and internal technical advisers, manage stock binning routines, enforce strict housekeeping standards (“clean desk concept”), and allocate daily time for processing unsalable or faulty import goods to keep inventory lines clear and accurate.

Key Responsibilities of a Parts Receiving Administrator

Return for Credit (RFC) Stock Processing
  • Ensure all automotive parts returned for credit are processed immediately in accordance with prescribed work instructions and company guidelines.
  • Verify that all returned goods are accompanied by correct, valid, and fully completed documentation prior to system processing.
  • Attend to internal and external queries regarding the RFC status, credit approvals, and part evaluations promptly and professionally.
  • Apply a strict “clean desk concept” to the receiving area, ensuring stock is evaluated, cleared, and returned to active bin locations without delay.
  • Allocate one hour daily for the supervised destruction and logging of unsalable or faulty imported items (or assist with RFC stock checking if no binning is scheduled).
Technical Evaluation & Claims Administration
  • Follow evaluation procedures strictly for all returned parts, consulting with the Technical Department on any technical uncertainties or specification doubts.
  • Process parts returned for claim purposes immediately to the Claims Department following established operational work instructions.
  • Maintain complete documentation filing with high traceability for audit, supplier claim, and financial verification purposes.
  • Report stock or process discrepancies immediately to the branch supervisor.
Customer Liaison & Operational Support
  • Communicate professionally with trade clients and retail customers regarding return statuses, technical queries, and credit outcomes.
  • Support stocktake procedures, physical counts, and inventory audits within the branch.
  • Collaborate with the Area Co-ordinator to ensure continuity across key receiving and dispatch functions.
  • Demonstrate operational flexibility by assisting in other warehouse departments when business demands require.
Housekeeping, SHEQ & Compliance
  • Maintain a clean, organized, and safe working environment within the receiving deck and RFC processing stations.
  • Adhere strictly to company policies, safety standards, and employment equity guidelines.
