Position Overview
The Administrator: Service Advisor will serve as the primary point of contact for customers requiring vehicle servicing and maintenance. This customer-facing role requires an experienced automotive Service Advisor who can manage service bookings, interpret customer concerns, coordinate with technicians, and ensure a seamless service journey from booking to vehicle handover.
The successful candidate will demonstrate strong technical understanding, excellent communication skills, and a passion for delivering outstanding customer service within a dealership environment.
Key Responsibilities
Customer Interaction & Communication
- Greet customers professionally and identify vehicle service or repair needs
- Provide accurate quotations and time estimates for maintenance and repair work
- Explain technical information clearly and in non-technical language
- Maintain regular communication regarding service progress, delays, or cost changes
- Conduct post-service follow-ups to ensure customer satisfaction
- Assist or relieve in warranty administration when required
Service Scheduling & Coordination
- Schedule service appointments efficiently to optimise workshop capacity
- Coordinate with technicians to ensure timely and accurate completion of work
- Confirm availability of required parts prior to scheduled services
Documentation & Record-Keeping
- Prepare detailed service orders with complete vehicle and customer information
- Maintain accurate service history, warranty records, and customer profiles
- Manage service invoicing and payment processing with accuracy
Quality Control & Customer Satisfaction
- Monitor quality of service work to ensure compliance with manufacturer standards
- Handle customer complaints professionally and escalate where necessary
- Consistently aim to exceed customer satisfaction and loyalty targets
Product & Service Knowledge
- Stay informed on new vehicle models, services, and dealership promotions
- Promote service offerings and value-added products to customers
Team Collaboration & Reporting
- Work closely with service technicians, parts department, and sales teams
- Compile daily, weekly, and monthly reports on service performance and CSI metrics
Minimum Requirements
- 2–3 years’ experience as a Service Advisor in an automotive dealership
- Computer literacy (Microsoft Office Suite)
- Valid driver’s license and own transport
- Technical qualification (advantageous)
