Position Overview

The Administrator: Service Advisor (Non-Technical) will act as the key coordinator between the service department, technicians, foremen, and customers. This position ensures all workflow is streamlined, service bookings are managed effectively, and vehicles are handled securely.

The ideal candidate will have strong organisational skills, excellent customer service experience, and a background in automotive service operations. This is a critical role for ensuring the dealership runs efficiently and customers receive timely, professional assistance.

Key Responsibilities

  • Coordinate workflow between service advisors, technicians, foremen, and customers
  • Update service customers on all bookings and follow-ups
  • Ensure vehicle security: vehicles parked properly and keys secured in the keysafe
  • Verify job cards are completed and signed by technicians
  • Assist technicians with quotations and service documentation
  • Support the Controller, Foreman, Service Manager, and Service Receptionist as needed
  • Follow up on parts ordered and ensure timely delivery to the workshop
  • Book in vehicles and manage test drives with quality control measures
  • Record and report customer comebacks, ensuring resolution
  • Track work-in-progress and outstanding cash, submitting daily reports to the Service Manager
  • Maintain a clean and safe work area, promoting adherence to safety standards
  • Sell vehicle accessories and additional work
  • Prepare and submit quotations for authorization
  • Follow up on pending sales or service opportunities

Minimum Requirements

Essential

  • Grade 12 / Matric certificate
  • Minimum 3 years’ experience as a Service Advisor
  • Toyota Service Advisor Certificate
  • Strong computer literacy (MS Office & service management software)
  • Clear criminal record
  • Excellent verbal communication skills

Advantageous

  • Prior experience in the automotive or motor industry
  • Knowledge of Toyota service operations and dealership procedures
