Position Overview

The Real Estate Administrative Clerk will manage administrative processes across the national real estate portfolio, ensuring efficiency, compliance, and exceptional client service. This role is ideal for a meticulous professional with administrative, legal, and marketing expertise in real estate.


Key Responsibilities

  • Ensure accurate and compliant administrative processes (PayProp, PropData, DocuSign)
  • Manage switchboard duties and internal communications
  • Compile property information for rentals and sales purposes
  • Assist with property viewings as required
  • Draft and compile contracts for rental and property sales transactions
  • Oversee the management of the rental portfolio (short-term holiday letting and long-term rentals)
  • Liaise with landlords, tenants, and clients regarding documentation and maintenance progress reports
  • Design and compile brochures, advertisements, and CI-compliant marketing materials
  • Manage social media marketing and online property listings (Property24, Private Property)
  • Utilize industry tools like Lightstone, Windeed, Virtual Agent, PropData, PayProp, and DocuSign

Minimum Requirements

Qualifications

  • Grade 12 (Matric)
  • Valid Fidelity Fund Certificate
  • Minimum 3 years’ relevant experience in real estate administration

Skills & Experience

  • Excellent computer literacy (MS Office suite)
  • Knowledge of property portals (Property24, Private Property)
  • Understanding of marketing, social media, and CI-compliant design
  • Ability to manage contracts and legal documentation in the property industry
  • Valid driver’s license and own transport
  • Strong administrative, organizational, and time management skills
  • Analytical and problem-solving capabilities
  • Ability to work independently while maintaining strong interpersonal relationships
