Job Overview
The Billing and Office Administrator position is designed for a detail-oriented and organized professional who thrives in a fast-paced, dynamic business environment. The primary purpose of this role is to provide high-level administrative and billing support to the management team and broader business units. This position is key to maintaining smooth office operations, coordinating financial activities, managing travel logistics, and ensuring efficient billing and documentation processes.
The successful candidate will be responsible for handling a variety of business-critical tasks, including invoice management, purchase order processing, office coordination, vendor relationships, and travel arrangements. You will work closely with different teams to ensure accurate financial records, effective communication, and compliance with internal and external processes.
Minimum Requirements
Education and Qualifications

Grade 12 (Matric) – essential.

Certificate or Diploma in Business Administration or a related field.

Financial Diploma or Certificate is preferred to demonstrate proficiency in billing and finance-related functions.
Work Experience
-
A minimum of 3 years of experience in financial and billing administration.

2–3 years of experience working within an IT and/or office administration environment.

Previous experience using ERP systems such as SAP will be advantageous.

Strong exposure to invoicing, reconciliation, and contract-based billing processes.
Key Responsibilities and Performance Areas
The successful applicant will be responsible for overseeing multiple operational and administrative areas, including finance, billing, office management, and travel coordination.
1. Financial and Billing Administration

Review and process invoices, ensuring accuracy and compliance with company and client requirements.

Generate purchase orders and ensure all financial documentation aligns with contractual obligations and billing schedules.

Conduct monthly billing aligned to contracts and operational timelines.

Manage reconciliation processes, ensuring discrepancies are resolved promptly.

Centralize query management and resolve billing issues efficiently through professional communication and collaboration.

Assist with budget tracking and ensure all financial transactions are accurately recorded and reported.
2. Office Administration

Oversee day-to-day office operations and ensure all resources and supplies are available for smooth workflow.

Coordinate with vendors and service providers to ensure timely delivery of goods and services.

Manage vendor onboarding and maintain accurate supplier records.

Coordinate corporate social responsibility (CSR) initiatives and internal team events.

Supervise fleet management, ensuring vehicles are properly maintained, and manage corporate credit card expenses.

Maintain office equipment and stationery inventory, ensuring proper utilization and cost control.
3. Travel and Accommodation Management

Plan and book domestic and international travel for employees, including flights, accommodation, and car rentals.

Administer FOREX and travel insurance in accordance with company policies.

Maintain detailed travel records and ensure all related expenses are accurately captured and reconciled.

Provide assistance with itinerary management and coordinate with external travel service providers for best cost efficiency.
Technical Competencies
