About the Role

Midas King William’s Town is seeking an experienced and disciplined Administrator: Branch to take full ownership of the branch’s accounting and administrative function. The purpose of this role is to acquire a thorough understanding of all standard accounting and administrative functions performed at branch level, and to supervise and control the branch administrative and accounting team — ensuring that all branch assets are safeguarded and correctly accounted for at all times.

This is a senior branch accounting role that demands extensive hands-on bookkeeping experience, a full grasp of fundamental accounting concepts, and the ability to manage the complete accounting cycle up to trial balance. You will oversee the debtors and creditors ledger, manage daily cash receipting and banking, enforce internal controls, prepare the branch budget, review general ledger accounts monthly, and ensure all group reporting deadlines are met. You will also be expected to supervise, train, and develop the branch admin team and liaise professionally with banks, the Motor Vehicle Bargaining Council (MIBCO), and Midas head office.

The ideal candidate is honest, trustworthy, extremely organised, and comfortable working with large amounts of cash daily. A clear ITC and criminal record are non-negotiable requirements for this post.

Key Responsibilities of an Administrator: Branch

Cash Management, Receipting & Daily Banking

  • Ensure the accurate and complete receipting of all cash, COD, and credit sales.
  • Safeguard all cash and ensure the daily banking of all proceeds received from customers — including cash, cheques, electronic transfers, and credit card payments.
  • Ensure that all daily receipts are fully banked on the next business day without exception and are never carried over.
  • Record and follow up on all RD and unpaid cheques immediately upon receipt.
  • Account for and safeguard petty cash at all times.

Creditors Ledger Management

  • Supervise and maintain the branch creditors ledger — checking and capturing creditor invoices for accuracy and validity.
  • Ensure the timeous authorisation and approval of all creditor payments.
  • Ensure that all sundry (non-trading stock) purchases are correctly authorised, fully received, and timeously paid.

Debtors Ledger Management

  • Manage the branch debtors ledger — ensuring timeous receipt of customer payments and accurate updating of all debtor and COD accounts.
  • Control customer credit limits and manage the opening of new accounts.
  • Recover overdue amounts and issue letters of demand; hand over outstanding debts to attorneys when appropriate.
  • Maintain professional and cordial relationships with customers throughout all debtors management activities.

Internal Controls, Separation of Duties & Compliance

  • Supervise, maintain, and enforce all branch internal controls consistently and correctly across all areas of business including sales, warehousing, and distribution.
  • Ensure strict separation of duties between persons controlling and recording assets — particularly between the receiving and recording of all cash receipts.
  • Ensure the branch is in possession of the official internal control manual and that all relevant staff are familiar with and apply all controls described therein.
  • Perform regular test checks on all internal control processes and investigate breaches of controls when required.

Reporting, Budgeting & General Ledger

  • Apply all head office accounting requirements and achieve all group reporting deadlines consistently.
  • Conduct a continual review of branch general ledger accounts and perform monthly review of expenses — investigating variances and unusual items.
  • Prepare the branch annual budget and review actual branch performance against budget.
  • Calculate and prepare all month-end accrual journals and maintain all branch control accounts.
  • Liaise professionally with Midas head office (Alert) and resolve all queries timeously.

Team Supervision, Training & Branch Management Support

  • Build and develop the branch accounting and administration team — training staff to ensure they are adequately equipped to perform their functions.
  • Ensure the team is adequately staffed to enable the branch to perform at expected levels.
  • Work closely with the Branch Manager as a member of the branch management team, fully supporting efforts to maximise branch performance.
  • Maintain a professional relationship with the Motor Vehicle Bargaining Council (MIBCO) and ensure all monthly staff contributions are paid timeously and accurately.
  • Manage the ordering, recording, and safeguarding of all stationery including company cheques and invoices.

✅ Financial Accuracy & Accounting Integrity

Every rand received, banked, or recorded carries the branch’s financial credibility. We value administrators who approach the full accounting cycle with absolute precision — receipting correctly, banking daily without exception, reconciling control accounts thoroughly, and never allowing inaccuracies to pass unchallenged. In a branch accounting environment, accuracy is not aspirational — it is the baseline.

✅ Internal Control Discipline & Asset Safeguarding

Enforcing separation of duties, maintaining control over cash takings, and performing regular test checks on internal control processes are the foundations of branch financial governance. We value administrators who understand that internal controls exist to protect the business and its people — and who apply them consistently, rigorously, and without exception across every area of branch operations.

✅ Leadership, Delegation & Team Development

Supervising an accounting and administration team while managing your own workload demands confident, organised leadership. We value administrators who delegate appropriately, invest in training their team, hold staff to clear performance standards, and build a branch admin function that can meet tight monthly deadlines reliably — even under pressure.

✅ Professionalism in External Relationships

Liaising with banks, MIBCO, head office, debtors, and creditors requires a consistently professional, confident, and solution-oriented approach. We value administrators who build productive working relationships with all external stakeholders — resolving queries promptly, communicating clearly, and representing the Midas brand with the professionalism its clients and partners expect.

✅ Trustworthiness & Cash Handling Responsibility

Handling large amounts of cash daily, safeguarding petty cash, and ensuring that all receipts are banked without delay places this role at the centre of the branch’s financial integrity. We value administrators who understand the personal responsibility that comes with this function — acting with complete honesty and transparency at all times and maintaining the trust of the branch manager and head office.
