About the Role
Motus Toyota Strydom Park is seeking a dedicated and experienced Administrator: Service Advisor (Non-Technical) to coordinate workflow in the service department — acting as the connecting link between service advisors, the workshop foreman, technicians, and customers. This is not a technical workshop role; it is an administrative and customer coordination position that requires the ability to maintain high service levels consistently and deliver an outstanding customer experience across every interaction.
In this role, you will update service customers on all bookings, follow up on parts ordered to the workshop, ensure job cards are signed off correctly, assist technicians with quotes, record and report comebacks, manage work in progress and cash outstanding, and ensure that all vehicles are test driven before clients leave the dealership. You will provide critical daily support to the Controller, Foreman, Service Manager, and Service Receptionist — keeping the service department running efficiently and to the standards expected of a Toyota dealership.
This role is best suited to a candidate with proven Service Advisor experience, a valid Toyota Service Advisor certificate, strong computer literacy, a clear criminal record, and the communication skills to manage multiple stakeholders simultaneously in a high-volume dealership environment.

Service Department Workflow Coordination
- Coordinate the workflow in the service department between service advisors, the foreman, technicians, and customers.
- Book in vehicles and update service customers on all service bookings promptly and accurately.
- Follow up on parts ordered to the workshop and ensure delivery timelines are communicated to the relevant parties.
- Assist and advise technicians on quotes in a timeous manner to prevent workflow delays.
Vehicle Management & Security
- Ensure the security of all vehicles — vehicles locked in the workshop and keys locked in the key safe at all times.
- Ensure that first thing each morning, vehicles are parked outside and keys are secured in the key safe.
- Ensure that all vehicles with specific complaints are test driven with either a Foreman or Quality Controller before the client leaves the dealership.
- Ensure that all vehicles are test driven as required and that this process is consistently followed.
Job Cards, Comebacks & Quality Control
- Ensure job cards are signed off by technicians correctly and timeously.
- Record and report comebacks accurately to the Service Manager.
- Ensure all quality control procedures are followed and that vehicles meet the required standard before client handover.
- Maintain meticulous records and ensure all documentation is completed accurately throughout the service process.
Financial Administration & Reporting
- Ensure work in progress and cash outstanding is completed on a daily basis and submitted to the Service Manager.
- Prepare quotations for authorisation and follow up on sales not made.
- Ensure parts are ordered according to the parts ordering system and in compliance with dealership procedures.
- Sell accessories and additional work to customers where appropriate and in line with the dealership’s sales objectives.
Stakeholder Support, Safety & Standards
- Give assistance to the Controller, Foreman, Service Manager, and Service Receptionist as required.
- Communicate with all service staff to ensure smooth daily operations and shared awareness of priorities.
