Job Overview

The Administration Clerk (Equipment) is responsible for executing administrative tasks related to equipment management, data capturing, and internal reporting. The successful candidate will be instrumental in ensuring the accuracy and efficiency of internal documentation, processing claims, and maintaining compliance with company policies. This position requires a professional with strong organizational skills, attention to detail, and a proactive approach to administrative tasks.

Minimum Requirements

Educational Qualifications

  • Grade 12 / Matric is required.

Work Experience

  • At least three years of experience in an administrative role, preferably in an equipment or retail environment.

Key Responsibilities and Duties

Insurance Claims and Documentation

  • Register and track insurance claims related to equipment and company assets.
  • Ensure all necessary documentation is submitted accurately and on time.
  • Liaise with relevant internal departments to expedite claim approvals and resolve discrepancies.

Credit Notes and Financial Processing

  • Generate a detailed credit note report from the internal system.
  • Capture credit notes against whole goods warranty claims to maintain accurate financial records.
  • Ensure all credit note transactions comply with company policies and financial regulations.

Logistics and Inventory Management

  • Verify and ensure the accuracy of company vehicle log sheets, ensuring compliance with travel and fuel policies.
  • Capture John Deere stock receipts into the company’s inventory management system.
  • Maintain accurate vendor data on the master data system, ensuring completeness and correctness.

General Administrative Support

  • Handle data entry and record-keeping with high levels of accuracy.
  • Assist in preparing reports and summaries for internal management.
  • Support various departments with administrative and clerical tasks as required.
  • Maintain and update electronic and physical filing systems to ensure easy retrieval of documents.

Required Skills and Competencies

Technical Knowledge and Competencies

  • Proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint).
  • Strong verbal and written communication skills to interact professionally with stakeholders.
  • Attention to detail to ensure accuracy in data capturing and financial transactions.
  • Understanding of insurance claim processing and credit note management.
  • Familiarity with inventory management systems and administrative procedures.
