Key Responsibilities

As the HR Administrator, you will play a vital role in supporting the day-to-day operations of the HR department. Your primary duties will include maintaining accurate employee records, ensuring legal and policy compliance, assisting with recruitment and onboarding processes, and providing exceptional administrative and interpersonal support.

1. Employee Records and HR Data Management

  • Maintain and update employee records and databases with precision and confidentiality.

  • Ensure all personnel files are complete, accurate, and securely stored—including employment contracts, performance evaluations, and disciplinary documentation.

  • Monitor and track employee leave such as annual, sick, and special leave to facilitate accurate payroll processing.

  • Operate and manage the HRIS (Human Resource Information System), ensuring all data entries and reports are current and reliable.

2. Recruitment, Hiring, and Onboarding

  • Assist in the end-to-end recruitment process by posting vacancies, reviewing applications, scheduling interviews, and communicating with candidates.

  • Coordinate onboarding for new hires: prepare welcome kits, gather necessary documentation, and facilitate orientation schedules.

  • Support the HR team in administering employee benefits and providing staff with policy and process information.

3. Compliance with Labour Laws and HR Policies

  • Ensure all HR practices align with current South African labour legislation and regulatory requirements.

  • Assist in reviewing and updating HR policies to reflect changes in labour laws and internal procedures.

  • Maintain all legal documentation pertaining to employment—including contracts, amendments, terminations, and disciplinary actions.

4. Employee Support and HR Communication

  • Serve as a first point of contact for employees with HR-related queries about policies, benefits, and procedures.

  • Support employee relations initiatives by gathering information, offering guidance, and escalating issues to the HR Manager when required.

  • Help communicate HR announcements and updates effectively across the organisation.

5. General Administrative and Event Coordination Support

  • Organise logistics for HR-related activities such as workshops, training sessions, and internal meetings.

  • Generate and maintain HR reports and presentations on various employee metrics such as absenteeism, turnover, and training outcomes.

  • Perform general administrative tasks, including but not limited to, document filing, handling telephone enquiries, photocopying, and managing HR correspondence.


Qualifications and Experience Required

To succeed in this role, you should possess a balanced mix of HR knowledge, administrative proficiency, and interpersonal skills.

Educational Qualifications

  • A Bachelor’s degree in Human Resources Management, Business Administration, Industrial Psychology, or a related field is preferred.

Professional Experience

  • A minimum of 4 to 5 years of experience in an HR support or administrative role within a corporate, academic, or professional services environment.

Technical Proficiency

  • Proficiency in HRIS platforms and systems (experience with specific platforms is a plus).

  • Excellent command of the Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).

Skills and Attributes

  • In-depth knowledge of labour laws and HR best practices in South Africa.

  • Strong organisational and time management abilities.

  • Outstanding communication and interpersonal skills.

  • Ability to maintain strict confidentiality when handling sensitive information.

  • Strong attention to detail and ability to multitask in a fast-paced environment.

  • Must have own reliable transport due to the location in Stellenbosch.
