Job Purpose

As a Bookkeeper, you will be instrumental in ensuring the accuracy and integrity of our financial systems. This includes organizing financial records, managing payroll, handling accounts receivable and payable, assisting with stock and asset control, preparing invoices, and maintaining compliance with standard operating procedures and financial regulations.

You will also assist in general administrative functions and support the Catering Manager during their absence, making this a multifaceted and growth-oriented role.


Key Responsibilities

Financial and Bookkeeping Functions

  • Maintain comprehensive financial control systems and ensure records are accurate and compliant.

  • Process and balance sales control sheets; verify actual vs. theoretical sales.

  • Handle cash management, cash-ups, shortages, and banking processes.

  • Prepare and submit weekly Profit and Loss summaries for the unit.

  • Process and reconcile cash books and monthly bank reconciliations across companies.

  • Ensure complete and valid PRS processing in the AX system.

  • Prepare and post general ledger journals.

  • Perform accurate filing of accounts and maintain financial records for audit readiness.

  • Assist in debtor collections and local invoicing, working closely with Unit Managers.

  • Monitor resale outlets and reconcile all unit cash accounts.

Administrative Duties

  • Compile all bookkeeping returns and ensure timely and accurate submission.

  • Support the Catering Manager with daily administrative and operational functions.

  • Assist in stock-taking processes and ensure goods received meet quality standards.

  • Submit accurate financial documentation as needed.

  • Maintain up-to-date balance sheet reconciliation files.

Operational Support

  • Support compliance with standardised recipes and record issues from stores on Menutec.

  • Provide assistance in HR and industrial relations issues within the unit.

  • Attend meetings and contribute to operational decisions.

  • Ensure the asset register is accurately updated and maintained.

  • Identify and follow up on short payments from clients.

Customer and Supplier Interaction

  • Build and maintain strong relationships with customers, clients, and suppliers.

  • Assist in handling customer function requests, bookings, and complaints.

  • Support customer satisfaction by ensuring professional and prompt service.

Minimum Requirements

Education:

  • A tertiary qualification in bookkeeping, finance, or accounting is advantageous.

Experience:

  • Minimum of 1-2 years’ experience in a similar bookkeeping or finance-related role.

  • Previous exposure in the catering or hospitality industry would be beneficial.

Technical Skills:

  • Strong computer literacy, especially in Microsoft Excel (advanced level).

  • Familiarity with Menutec and MyMarket systems is preferred.

  • Knowledge of financial systems such as AX Dynamics would be an advantage.
