Minimum Requirements

Educational Qualification:

  • Matric / Grade 12 certificate is essential.

Work Experience:

  • At least 2 years of administrative experience, preferably within a retail or logistics environment.


Key Responsibilities of the Role

As an Administration Clerk, you will play a crucial role in maintaining the administrative functions of the branch. Your key performance areas will include:

  • Receiving and Documentation Management:

    • Receive and compare stock against delivery notes.

    • File delivery documentation accurately.

    • Support ad-hoc receiving functions as needed.

  • Invoice and Claims Processing:

    • Electronically collect and verify invoices for receiving procedures.

    • Link invoices with delivery notes and purchase orders.

    • Process and manage warranty claims, damaged stock, and delivery discrepancies.

  • Data Management and System Accuracy:

    • Ensure all documents are processed with correct number sequences.

    • Regularly generate reports including outstanding claims, POs, and stock variances.

    • Capture data accurately into the system for stock counts and other processes.

  • Client and Supplier Communication:

    • Maintain good relationships with both internal and external stakeholders.

    • Resolve queries promptly and professionally.

    • Liaise with suppliers regarding outstanding invoices, credits, and stock issues.

  • Stock Control and Reporting:

    • Generate stock-taking and variance reports.

    • Assist with quarterly stock takes and capture data accordingly.

  • Cash-Up Procedures:

    • Perform daily cash-ups with precision.

    • Ensure adherence to policies regarding cash surpluses or shortages.

    • Report discrepancies to the Regional Banking Clerk.
